Executive Assistant/Office Manager – Axios Charlotte

Skiptown, THE place for pets and their people, is looking for an Office Manager / Executive Assistant to support our Skiptown Headquarters team and office. This is an excellent role for someone who is equal parts people person, detail oriented, and creative.

What you’ll do:
• Manage the CEO & Office calendar
• Coordinate travel arrangements for site visits
• Handle paper and digital documents and maintain organization system
• Organize and prepare for internal and external meetings and coordinate meeting logistics (materials, meals, drinks, etc . )
• Take meeting notes and update project management software with next steps
• Track progress and follow-through of leadership level initiatives
• Draft, review and send communications on behalf of leadership
• Expense tracking and reporting
• Coordinate HQ new hire onboarding
• Prepare basic documents/presentations
Workplace management
• Maintain relationship with landlord and other office vendors
• Coordinate along with landlord to ensure building maintenance when issues occur
• Maintain office access
• Manage HQ office supplies & snacks
• Office equipment, technology, and supply procurement
• Maintain office related budget
Culture and events
• Plan and coordinate HQ associated social events/outings
• Organize HQ employee celebrations/gifts (birthday, anniversary, baby, wedding, bereavement)
• HQ Team culture special projects

Exactly what you’ll bring:
• At least 1 year of experience as an Executive Assistant or Office Manager for a team of 15+ employees
• Google Suite: moderate to high proficiency
• Mac OS proficiency
• A highly organized and process-oriented mindset
• A relentless attention to detail
• Excellent written communication skills
• Ability to manage and prioritize multiple tasks at once
• A strong work ethic driven by a sense of urgency
